Purpose and Legal Basis
The processing is necessary for the administrative and academic management of students' enrollment. The legal basis for this processing is a public interest mission.
Secondary Objectives
Université Grenoble Alpes also conducts surveys (the legal basis for this processing is the consent of the persons concerned) as well as statistical processing (the legal basis for this processing is the legitimate interest of the institution or compliance with a legal obligation, notably in the context of the SISE survey).
Your data is also stored in the CRM (
Customer Relationship Management) fromUniversité Grenoble Alpes for customer relationship management, based on the legal grounds of legitimate interest.
The recipients of your data are:
- the Executive Office for Training;
- all student services at UGA’s constituent units;
- the Executive Office for Information Systems, which provides you with access to all digital services;
- the Directorate General for International and Territorial Development in connection with your mobility assignments;
- the legal department responsible for organizing the elections;
- the sports department;
- the department responsible for employment placement assessments;
- the department responsible for data governance and decision support;
- the Department of Project Management and Cross-Functional Initiatives, Quality Improvement.
Your data is also shared with legitimate organizations, including interuniversity bodies (health center, university library, student life office, accounting office) and external agencies (CROUs, Ministry of Higher Education, Research, and Innovation).
Finally, this information may be shared, with your consent, with partner organizations involved in student education or student life, alumni groups, and so on. In such cases, specific information will be provided.
Retention Periods
Your data is retained for three years from the date of your last registration in the active database, after which it is archived in accordance with legal requirements.
Transfers
Your data may be transferred outside the European Union if you participate in a student exchange program in a country outside the European Union. You will then be specifically informed, depending on the country you choose, of the existence or absence of an adequacy decision issued by the Commission. In the absence of an adequacy decision, you will be kept informed of the safeguards put in place to govern the transfer of your data by the Directorate General for International and Territorial Development.
Rights
You have the following rights:
- the right to access your personal data;
- right to correction;
- the right to have such data erased or to restrict its processing, in accordance with the statutory retention periods;
- the right to object to the processing of your data depending on the purpose of the processing, and the right to data portability.
With regard to processing activities for which consent serves as the legal basis (such as surveys), you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing based on consent that took place prior to its withdrawal.
