Steps to Take When Applying for an Exchange Program

Here are the steps to follow for a successful exchange program at Université Grenoble Alpes.

Before you begin, please make sure that this procedure is followed at the school, college, or institute where you are enrolled.

Step 1: Check partnerships

Make sure your university has an exchange partnership with UGA. You can check our exchange agreements to be sure.

Step 2: Apply to your home university

Your home university selects you for the exchange program and then forwards your application to UGA.

Your university must notify us of your appointment by the following dates:
  • April 30 ( of each academic year) for first-semester or full-year stays.
  • September 30 ( of each academic year) for stays during the second semester.
Once the UGA has received your nomination, you will receive a an email containing a link to the UGA online application form. Be sure to check your email!

Step 3: Apply to UGA

You must complete the online application form by the following deadlines:
  • May 30 ( of each academic year) for first-semester or full-year stays.
  • October 18 ( of each academic year) for stays during the second semester.
You must include the following documents with your application: If you have a disability, you can include your academic accommodation plan to request accommodations for your classes and exams. You can also let us know about your needs when you apply for housing.

If your application is accepted, You will be notified by the institution (school, college, or institute) that will be hosting you at UGA.

Step 4: Sign up for French classes

We offer Free French as a Second Language Classes for international students admitted to exchange programs. These courses allow you to earn credits and further your education.

To register, contact the international relations coordinator at your host institution.

Step 5: Plan Your Trip

We have set up a web portal that brings together all the information you need to prepare for your arrival in France and in Grenoble, available at Valence. The most important things to check are Administrative procedures for your right to reside in France (visa), housing and health insurance.

Step 6: Sign up for the referral program

The sponsorship program gives you the opportunity to meet a UGA student. The student will show you around the campus and introduce you to student life in Grenoble or Valence.

Step 7: Complete your registration at UGA

Your enrollment will be finalized once you arrive at UGA. You will then receive your student ID card and your login credentials to access the Wi-Fi and your online student portal.

To complete your registration, please be sure to bring the following documents:
  • A copy and the original of your passport or ID card.
  • The registration packet provided to you by your host department.
  • If you are doing an internship: a certificate of liability insurance.
Please note:
  • There are no registration fees to pay at UGA. You pay them to your home university.
  • The UGA will not issue you a degree. At the end of your stay, we will send you a transcript showing the number of ECTS credits you have earned, which you can submit to your home university.

Step 8: Prepare for your return

Before you leave, make sure to leave everything in order:
  • Please return any books or other items you have borrowed from the UGA.
  • Have your host institution certify the end-of-stay documents required by your university (study agreement, certificate of completion).
  • If you are an Erasmus student, check with your home university to see if you need to take the OLS (Online Linguistic Support) test.
  • Pick up your transcript. If it is not ready yet, your host department will send it to your home university.
  • If you are renting a place, let your landlord know as soon as possible when you plan to move out. Schedule an appointment for the move-out inspection and provide your bank account information so the security deposit can be refunded.
  • Be sure to cancel your subscriptions (phone, internet, electricity, etc.). 
  • Close your bank account if you have opened one in France.

Optional: Extend your stay

Authorization

Would you like to extend your stay? You must obtain authorization from both your home university and UGA. If they agree, you must have an exchange program extension form signed.

If you want to extend your stay at another school, you will need to submit a new application by the deadlines (see "Step 2: Apply to UGA").

Housing

If you live in housing managed by the CROUS:
  • You must submit a request for an extension by email to studenthousing@univ-grenoble-alpes.fr, attaching the exchange mobility extension authorization, the updated study contract, or the signed internship agreement to your message.
  • To extend your stay into the second semester, please contact us before mid-November.
  • To extend beyond February, please contact us at least a month and a half in advance.
If you're renting from a private landlord
  • Contact your landlord directly.

Residence Permit
